Academic Policies
Green Rose Center for Academe, Inc. (GRCA) welcomes new learners and transferees across all grade levels. All applicants are required to undergo a standard admissions procedure to ensure appropriate placement and readiness for the ’s academic and character formation programs.
Admission Guidelines
Pre (Playgroup, Nursery, Kindergarten,
Preparatory)
Applicants for Pre levels must meet the following criteria:
● For Playgroup and Nursery, appropriate age and developmental readiness will be considered.
● For Kindergarten and Preparatory, the child must be four (4) and five (5) years old or older by August 31 of the academic year.
Grade 1
Applicants must be Preparatory or Kindergarten completers from DepEd-recognized institutions.
Grades 2 to 11
Applicants for these grade levels may be admitted if they:
● Have completed their previous grade level from a DepEd-recognized .
● Meet the academic and behavioral standards of GRCA.
● Undergo additional grade-level placement assessment if needed.
Grade 12
● Applicants must have completed their Grade 11 from a DepEd-recognized .
● Copy of grades from Grade 11 with Course/Strand description.
● Certificate of Eligibility to Transfer (if applicable)
● Additional evaluation for strand alignment and academic standing
Transferee
Applicants for Grades 2 to 12 who are not enrolled in any of the campuses of GRCA is a transferee.
Returning Students
A student who comes back to study in GRCA after having left the to study in another institution is considered a returning student or returnee. An applicant will be re-admitted as returning student or a returnee provided that he/she must:
● Have no record of serious to very serious offense(s) in the where he/she studied after he/she left a year or so ago;
● Not be recommended for non-admission by the Deliberation Committee when he/she left GRCA;
● Have an average grade per subject of 80 or above in the where he/she studied after he/she left GRCA; and
● Have a conduct rating not lower than B or its equivalent from the where he/she studied before he/she returned to GRCA.
If the above requirements are met, the applicant can now proceed with the admission process.
Resident Students
An enrollee who has been a student of GRCA since, at least,
the immediate previous year is a resident student. An applicant will continue to be a resident student only if all of the following conditions are met:
● Must not have a failing grade by the time of enrollment;
● Must not be in non-admission status during the enrollment; and
● Be recommended for enrollment by the Deliberation
Committee.
Admission Process
Payment of Entrance Examination Fee
Applicants for Junior High and Senior High are required to pay the entrance examination fee before taking the exam. This fee does not apply to Pre and Grade applicants.
Submission of Entrance Exam Requirements
All new applicants, including transferees and returnees, must submit the following upon examination:
● A photocopy of the report card from their previous grade level.
● For Pre (Playgroup, Nursery, Kindergarten, and Preparatory), a copy of the child’s developmental report or record, if available.
Entrance Examination
All applicants are required to take an entrance examination administered by the Guidance and Support Center, with assistance from selected faculty members (especially for Pre applicants). This diagnostic entrance exam is designed to assess the applicant’s academic readiness and developmental milestones by covering key subjects from their previous grade level. The final entrance exam rating will be computed as follows:
● 70% from the applicant’s academic grade average
● 30% from the diagnostic entrance exam score
To qualify for regular admission, applicants must obtain a combined rating of 83% or higher.
Probationary Status (Grades 2 to 12 Applicants Only)
Applicants from Grades 2 to 12 who receive a combined rating below 83% may still be considered for admission and enrollment but will be placed under probationary status for one academic quarter/semester. During this period, the student’s academic performance and behavior will be closely monitored. A formal review will be conducted at the end of the quarter/semester to determine whether the student may:
Probationary Status (Grades 2 to 12 Applicants Only)
Applicants from Grades 2 to 12 who receive a combined rating below 83% may still be considered for admission and enrollment but will be placed under probationary status for one academic quarter/semester. During this period, the student’s academic performance and behavior will be closely monitored. A formal review will be conducted at the end of the quarter/semester to determine whether the student may:
● Be removed from probation and granted full admission, or
● Require extended monitoring or other interventions, subject to the 's discretion.
Waiting Period for Results
Parents/guardians will be informed of the entrance examination results after the exam. Applicants who meet the required standards may proceed directly to the next step.
Intake Interview
Applicants who pass the entrance examination will be scheduled for an intake interview with their parents/guardians conducted by the Guidance and Support Center. This interview is designed to assess the student’s needs and to provide information on available support services and programs, ensuring a smooth transition and successful adjustment within the environment.
Enrollment and Submission of Requirements
For new applicants, transferees, and returnees, upon completion of the entrance exam and interview, they may proceed with enrollment. Required documents must be submitted, which may include (depending on grade level):
● Birth Certificate (PSA copy)
● Report Card (Form 138)
● Certificate of Good Moral Character
● Recent ID photos
● Other documents required by the Registrar
● Certificate of Eligibility to Transfer / Honorable Dismissal (if applicable)
● Additional evaluation for academic standing.
For resident or continuing students, they must confirm re-enrollment during the designated enrollment period. The following are generally required:
● Updated student information sheet (if applicable)
● Clearance from the previous year
● Updated health or vaccination records (if applicable)
● Payment of reservation or initial enrollment fee
● Other documentation as advised by the Registrar or Academic Office
● The student is of clean status (refer Clear Status on page ?) in the current grade level.
● Resident students who are not on clean status can only be enrolled on two conditions: (a) comply with his/her deficiency as suggested in the Student Status Sheet which will be given with the Report Card; (b) enroll only on the specified date of enrolment.
Note: All students are expected to comply with deadlines and documentary requirements to ensure proper registration for the year.
Payment of Reservation or Enrollment Fee
Reservation or initial payments may be made to secure the student’s slot. Payment details and rates vary depending on the applicant’s classification:
● Regular paying students will be advised of the tuition and fee structure during enrollment.
● ESC grantees shall follow the financial policies and requirements prescribed by the Private Education Assistance Committee (PEAC).
● Grantees under other programs or special arrangements shall comply with the financial and documentary requirements specific to their program.
Note: Reservation fees are non-refundable
and non-transferable, but will be deducted from the total tuition fee upon official enrollment.
Discounts
Discount for Enrolled Siblings
A discount of 3% on tuition fees is given to each sibling enrolled in GRCA, except when one of the siblings or both siblings are enrolled in Kindergarten.
Discount for Student-Athletes
The coach will recommend student-athletes who can avail of a discount, based on the game record of each athlete. The Scholarship Committee, in consultation with the Registrar and OSA, will determine the discount rate the athlete can avail. The registrar will check the academic record of each athlete. The OSA will check disciplinary records of each athlete
recommended for specific discount. Only athletes with clean status may avail of the scholarship.
To avail of the discount privileges, the parent must submit a properly filled out Application Form for Discount to the Cashier‟s Office on or before the deadline specified by the Accounting Office.
Admission Guidelines for Learners
with Special Needs
Important Notes
GRCA is not a designated Special Education (SPED) , but in line with the ’s commitment to upholding every learner’s dignity and right to education, we promote and practice inclusive education to the extent of the ’s capacity and available resources.
In accordance with DepEd Order No. 72, s. 2009, which institutionalizes inclusive education for children and youth with special needs, GRCA accepts learners with special needs provided that the is able to offer reasonable support and accommodations within its current structure.
Required Documents
Applicants with identified or suspected special needs must submit the following additional documents:
● A recent developmental pediatrician’s report or relevant medical/psychological evaluation;
● An existing Individualized Education Plan (IEP) or related documentation (if applicable). If no IEP is available, the parents/guardians may be asked to initiate or coordinate with a qualified professional to create one, especially if the learner requires ongoing accommodations or modifications;
● Reports or summaries from allied health professionals (e.g., therapists, psychologists), if available.
Consultation Process
The admission process for these learners includes
consultations with the Guidance and Support Center and Administration to evaluate the applicant’s needs and the ’s capacity to support them.
Placement Decision
Placement decisions will always be guided by:
● The learner’s best interest;
● Collaboration with the family;
● The availability of appropriate interventions within the .
● Relevant medical and/or psychological recommendations provided by licensed professionals.
Observation Period and Monitoring
Upon admission, learners with special needs may be placed under an observation period, during which the will observe their adjustment and functioning in the classroom setting. A formal review will follow, with input from teachers, guidance personnel, and parents/guardians.
Limitation of Services
GRCA shall make every effort to support learners with diverse needs. However, certain specialized interventions or therapies (e.g., occupational therapy, speech therapy, or shadow teaching) may not be provided within the and will be referred to qualified external professionals.
Confidentiality and Data Privacy
All documents and information related to a learner’s diagnosis or support needs shall be kept confidential and handled in accordance with the Data Privacy Act of 2012. Only authorized personnel involved in the learner’s academic planning and support shall have access to these records.
Development of a -Based Support Plan
In the absence of an existing IEP, and if the learner is admitted, GRCA may coordinate with the parents to develop a basic support plan in consultation with the Guidance and Support Center, classroom teacher, and academic head. This plan shall outline classroom strategies, accommodations, and progress monitoring suited to the learner’s needs, subject to regular review.
